VRCADE, operated by 14477774 Canada Inc. (“VRCADE,” “we,” “us,” or “our”), respects your privacy.

This policy explains how we collect, use, disclose and protect personal information when you visit www.vrcade.ca, use our booking services, attend our venue, participate in activities or communicate with us.

Our venue is located at 2130 Lawrence Avenue East, Unit 100, Toronto, Ontario M1R 3A6.

We handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable.

1. Information We Collect

We collect information reasonably necessary for the purposes described below.

Bookings, Purchases and Enquiries

This may include your name, email address, telephone number, booking details, participant numbers, event requirements, purchase history and communications with our team.

Participants and Waivers

We may collect participant names, age or date-of-birth information where necessary, parent or legal guardian details, electronic signatures and waiver acknowledgements.

If you provide accessibility requirements, allergy information or other sensitive participation information, we use it only for the relevant service, safety or accommodation purpose, or as otherwise permitted by law. Please avoid providing unrelated medical or sensitive information.

Guest Invitations and RSVPs

When an organizer uses our invitation tools, we may receive guests’ names, email addresses, invitation messages and RSVP information. Relevant RSVP information may be visible to the organizer through the booking platform.

Organizers should provide another person’s information only with appropriate permission. Providing guest details does not, by itself, authorize promotional marketing to those guests.

Payments

We receive transaction information such as amounts paid, payment status, transaction references, deposits, refunds, credits and limited payment details.

Payment card information is handled through the applicable payment-processing services. Please do not send card numbers or security codes by email.

Website Information

Our website and its service providers may collect IP addresses, approximate location, browser and device information, pages viewed, referral sources, interactions, and cookie or similar identifiers. See Section 5 for details.

Photographs and Incident Records

We may collect photographs, recordings or information relating to an incident where appropriate for the purposes explained in this policy and any notice provided at the time.

2. How We Use Information

We use personal information to:

  • Process bookings, purchases, payments, refunds and credits.

  • Deliver activities, parties, events and related services.

  • Administer waivers, check-in, invitations and RSVPs.

  • Respond to enquiries and prepare event quotes.

  • Send confirmations, receipts, reminders and service updates.

  • Address relevant safety, accessibility and dietary requirements.

  • Maintain business records and resolve complaints or disputes.

  • Protect our systems, customers and property.

  • Understand website use and measure advertising effectiveness, with appropriate consent.

  • Send promotional communications where permitted by law.

  • Meet legal obligations.

We identify new purposes and obtain additional consent where required before using information for a materially different purpose.

3. Consent and Your Choices

We seek meaningful consent for the collection, use and disclosure of personal information, except where the law permits or requires otherwise.

The form of consent depends on the information’s sensitivity, the circumstances and your reasonable expectations. We seek express consent where required, including for sensitive information and uses outside reasonable expectations.

Optional marketing and promotional photography consent are separate from booking and participation requirements. Declining these optional uses does not prevent you from purchasing ordinary VRCADE services.

You may withdraw consent by contacting us, subject to legal or contractual restrictions and reasonable notice. We will explain any consequences. For example, we may be unable to complete a booking without the contact information necessary to administer it.

Reading this policy or visiting our website does not, by itself, provide consent to every optional use described here.

4. Service Providers and Disclosures

We use service providers to support our operations, including:

  • Squarespace: Website hosting, forms, functionality and related analytics.

  • Aluvii: Bookings, customer and event administration, invitations and digital waivers.

  • Payment providers: Payments, refunds and transaction processing.

  • Google Analytics and Google Ads: Website measurement, advertising performance and conversion measurement.

We may also use providers for communications, technical support and agreed event services.

We limit information shared with providers to what is reasonably necessary for their functions and use appropriate contractual or other safeguards for information processed on our behalf. VRCADE remains accountable for information under its control.

We may disclose information to authorized staff and contractors, professional advisers, and authorities where necessary and legally permitted or required.

Where a provider processes information for its own purposes, its privacy policy may also apply. This does not remove VRCADE’s own privacy obligations.

We do not sell customer contact lists or personal information to data brokers.

5. Cookies, Analytics and Advertising

Our website uses cookies and similar technologies for essential functions, analytics and advertising measurement.

Depending on the features enabled and your consent choices, these technologies may collect browser identifiers, IP addresses, referral information, website interactions and booking-related events. Providers may associate interactions across visits or combine them with other information in accordance with their policies and applicable consent requirements.

We obtain consent where required and provide appropriate choices for optional tracking. Optional advertising tracking is not a condition of booking a VRCADE service.

You can use cookie preference controls where provided, adjust your browser settings, or contact us for help with your choices. Blocking essential cookies may affect website or booking functions. Deleting cookies alone may not prevent future tracking.

Google’s advertising controls are available at My Ad Center. These controls do not necessarily disable all website analytics or conversion measurement.

6. Photography and Video

We obtain appropriate consent before collecting and using identifiable guest photographs or recordings for promotional purposes, including social media and advertising.

Promotional consent is optional and separate from booking terms and participation waivers. For children who cannot provide meaningful consent, consent must come from a parent or legal guardian. A party organizer cannot provide consent for other guests solely because they made the booking.

You may withdraw promotional consent by contacting us. We will stop new promotional uses and take reasonable steps to remove identifiable material from channels we control, subject to applicable law. We may be unable to recall printed material already distributed or copies independently shared by others.

Records collected for a legitimate safety, security or incident-management purpose are handled separately and are not automatically available for promotional use. Where surveillance is used, appropriate notice and safeguards are required.

7. Children and Minors

We take particular care with children’s personal information.

Where a child cannot meaningfully understand the proposed collection, use or disclosure, we obtain consent from a parent or legal guardian. Information and consent requests directed to young people should be understandable for their age and maturity.

We limit children’s information to what is reasonably necessary for bookings, participation, waivers, safety and service delivery.

We do not use children’s waiver information or sensitive participation information for advertising targeting.

Parents or legal guardians may contact us about a child’s information. We may verify their identity and authority before responding.

8. Marketing and Booking Communications

We send communications needed to administer bookings and transactions, including confirmations, receipts, payment reminders, waiver instructions and scheduling updates.

Promotional messages are handled separately. We send them with express consent, valid implied consent, or another lawful basis under applicable Canadian anti-spam legislation.

Marketing messages include required sender information and an unsubscribe option. Unsubscribe requests are processed without delay and no later than 10 business days after receipt.

Unsubscribing from marketing does not stop necessary, non-promotional communications concerning an existing booking or transaction.

9. Storage Outside Canada

Our providers may store or process information outside Canada, including in the United States.

Information processed abroad may be subject to that country’s laws and lawful access by its public authorities.

We remain accountable for information under our control and take appropriate steps to protect it when transferred to providers. You may contact us with questions about international processing.

10. Security

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information.

These include restricting access to people who need information for their work and using appropriate safeguards for business systems, records and service-provider arrangements.

No system can guarantee absolute security. If a privacy breach occurs, we assess and respond to it, keep required records, and notify affected individuals and regulators when legally required.

11. Retention

We keep personal information only as long as reasonably necessary for its identified purpose and applicable legal requirements.

Retention periods differ for booking and transaction records, waivers, incident records, marketing consent records and other information. Relevant considerations include tax obligations, legal claims, participant age and the purpose for which information was collected.

When information is no longer required, we securely delete, destroy or anonymize it. We also address deletion with providers processing information on our behalf, subject to lawful retention requirements and reasonable backup-management processes.

We may retain limited suppression records to respect marketing opt-outs.

12. Access, Corrections and Privacy Requests

You may contact us to:

  • Ask whether we hold personal information about you and how it has been used or disclosed.

  • Request access to your information.

  • Request correction of inaccurate or incomplete information.

  • Withdraw consent, subject to applicable restrictions.

  • Request deletion where appropriate and legally permitted.

  • Raise a privacy concern or complaint.

We may request proportionate information to verify your identity or authority.

Access rights and deletion requests are subject to legal exceptions. Where we cannot fulfill a request, we will explain the reason to the extent permitted by law and describe available complaint options.

For access requests governed by PIPEDA, we generally respond within 30 calendar days. If a lawful extension is necessary, we will notify you as required.

13. External Websites

Our website may link to booking platforms, social media and other external services.

Those services may have separate privacy practices. Please review their policies when using them. VRCADE remains responsible for its own collection and disclosure of your information.

14. Policy Updates

We may update this policy as our services, practices or legal obligations change.

The revised policy will display an updated effective date. Where changes require additional notice or consent, we will provide that notice or obtain consent before applying them.
